Monthly cloud cost review checklist

Leave the review with a disclosed financial basis and an owner and date for each unresolved decision.

Prepare a reproducible monthly pack

Choose the completed month or billing period the meeting will review and state the exact boundaries. Include the selected subscriptions, native currencies, source freshness, and cost basis on the first page. Keep provisional charges visible when finance has not closed the period. Give attendees access to the underlying cost detail through approved channels before asking them to decide on an unexplained variance.

Prepare the previous action list alongside the cost report. Invite the engineering owners of material changes and the finance reviewer responsible for reconciliation. The FinOps Foundation Reporting and Analytics capability describes reports serving different personas with agreed terminology. Agree a reconciled scope, recorded decisions with owners, and dated follow-up checks as the meeting outputs. Leave technical resource cleanup to the relevant engineering review.

Check financial coverage before discussing performance

Confirm that selected-period totals match the underlying source on the same basis. Explain missing subscriptions, failed collection, and unallocated spend. Billing rows for resources absent from current inventory still belong in reconciliation. Review excluded invoice items with finance, including taxes or credits where the selected Cost Management source omits them. Mark unexplained differences for investigation rather than silently adjusting the report.

Keep native-currency totals separate. Show EUR and USD in distinct lines with their own comparisons; do not assign a cross-currency rank or combine them into an unlabeled amount. If management uses a converted view, retain its exchange-rate assumptions and the native reconciliation separately. Record any change from actual to amortized cost before interpreting a monthly trend, because the basis can move charges between periods.

Explain the variance and update the outlook

Compare the period with its agreed budget or forecast using matching dates and scope. Ask the owner of each material movement for an explanation supported by billing detail or a dated change record. Separate planned growth from unexplained usage and purchase timing. Review absolute amounts alongside percentages, especially where the previous period had very little spend. Keep uncertain causes visible in the minutes.

Agree whether the explanation changes the next forecast. A launch that continues into the next month needs a different outlook from a completed temporary test. Record the assumption and who will check it. An anomaly investigation still awaiting an owner should receive one during the meeting. The anomaly guide covers the detailed investigation sequence; the monthly meeting tracks unresolved exposure and decides what requires escalation.

Review actions and savings without combining states

For each proposed optimization, confirm the owner and the evidence needed before approval. Ask separately whether the change has been implemented and whether its outcome has been measured. An approved recommendation is still pending implementation. A completed change can still be awaiting financial evidence. Keep estimated monthly opportunities and projected annual amounts outside totals for realized outcomes.

The illustrative meeting records use two independent observations. The resize has an estimated EUR 240.00 monthly impact, while a service comparison shows a EUR 300.00 reduction whose attribution remains unresolved. These amounts cannot be added as savings. In Costframe, MEASURED_UNATTRIBUTED describes a measured service change and is excluded from verified savings. Request the attribution checks from the verification guide before accepting an action-specific financial conclusion.

Leave each decision with an owner and a date

Record whether each item is approved, rejected, blocked, or awaiting evidence, using the status your process actually supports. Approval should name the authorized decision maker and the scope of work. For a risky cloud change, require the engineering plan and dependency review. Costframe does not automatically change customer cloud resources; the meeting must identify the external implementation process and the person accountable for it.

An unresolved item needs a specific next check. Ask for a corrected billing export, an ownership confirmation, or a completed-period comparison, and set the due date. Record the reason for accepted exceptions and when they will be reviewed again. Preserve the previous decision if new evidence requires a revision. A report export or a meeting note alone does not prove that requested work has been completed.

Distribute the decision record and check continuity

Publish the minutes to the approved audience with links to the relevant report and action records. Include the financial basis, coverage limitations, owner assignments, and follow-up dates so that absent participants can understand the decisions. Avoid distributing raw cloud metadata or personal details beyond the people authorized to see them. Keep an accessible table of amounts alongside any chart used to explain a variance.

At the next review, start with overdue commitments and evidence requests. Confirm which work actually completed and whether the measurement window is ready. Reopen conclusions affected by corrected billing data. Use Costframe reports and findings documentation to check the product evidence available for your scope; keep additional provider exports with the review when necessary. The demo audit can help readers understand the review format, but demo figures are not customer outcomes.
